The Opportunity Our location in Alameda, CA currently has an opportunity for an Administ5ratie Assistant II to the Divisional Vice President of Lingo Biowearables.
This individual will be involved in executive team meetings, often serving as a key interface with other executive team members to ensure their meetings are on point.
Beyond that, the Assistant embodies the best of the company's culture and serves as an ambassador for their executive and team.
What You'll Work On Complex project management:
Provide task and project management expertise, staying up to date on multiple moving parts, and working cross-functionally to ensure projects are seen through to completion.
Expertly manage complex calendars, making judgment calls and strategically prioritizing appointments, acting as a gatekeeper for inbound time requests, and scheduling meetings with internal and external stakeholders.
Potential for managing executive email inbox and ghostwriting.
Proactively identifies and resolves scheduling conflicts.
Coordinate the logistics of leadership meetings, including scheduling, creating agendas, compiling materials, taking notes, and following up on action items with relevant stakeholders.
Support hiring efforts by coordinating schedules and logistics for interviews, both on the candidate and interviewer sides.
May include some support for tracking budget expenditures.
Creates board books as requested.
Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.
Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable).
Orders business cards and stationery.
Uses advanced software skills to perform work assigned.
Uses and understands Microsoft Office Suite and other business specific software, including the Corporate Travel Web site, and Employee performance management systems (as applicable).
Coordinates new employee office setups and onboarding.
May train/coordinate work for new administrative assistants.
Follows executive onboarding procedures.
Interacts with high level executives every day.
Consistently handles confidential or business sensitive information.
Data is typically organizational or multidimensional.
Maintains and manages executive calendar.
Manages domestic and international travel plans using executive guidelines.
Supporting internal and external team events.
EDUCATION AND EXPERIENCE YOU'LL BRING High School diploma or equivalent.
Some college preferred 5
years previous administrative experience or equivalent.
Operates with little instruction and minimal supervision.
Excellent interpersonal and decorum skills with capacity to engage with a broad range of employees, customers, and government officials.
Track record of managing highly confidential information, strong capacity to manage workflow & timelines, schedule management, and priority setting of the office.
Advanced knowledge of Microsoft Office Suite, Adobe Acrobat, Visio, and Outlook.
Preferred Qualifications Advanced knowledge and understanding of business processes and requirements.
Advanced knowledge of Microsoft Office Suite, Adobe Acrobat, Visio or OrgPlus, and Lotus Notes or Outlook.
Proficient in all applications.
Resourceful and solutions-oriented with an ability to improvise and think on your feet when unexpected challenges arise Willingness to always be available for communication via email/text, fielding frequent last-minute changes High EQ - A deep understanding of how to manage relationships on behalf of your executive and a sense of urgency with an innate drive to respond and take action quickly.
The base pay for this position is $32.
00 - $64.
00 per hour.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
